How to export data to Excel

If you want to update a table from the system that is already comprising data, you can use the Export to Excel feature. This feature allows you to export a whole setup to an Excel file in which each tab from the system is converted to an Excel sheet.

Where can you find it ?

To access the Export to Excel feature, go to the setup that you want to export (e.g. treatment) and click on the “downward arrow” button next to the Edit button and choose “Export to Excel” (see image below).

How can you use it ?

  1. Click Export to Excel in the drop-down menu.

    1. This will download the Excel sheet to your computer in which you will find sheets with the same name and data as in the setup tabs and tables.

  2. Enter new rows in the table following the right format for each column.

  3. Select and copy all rows and columns, headers included.

  4. Paste the template in the empty field in the Paste back from Excel section.

  5. Validate that all your pasted entries are valid.

    1. Check for warnings in each collapsible section of  Validate before import.

    2. For each column, you can define a default entry for all invalid or optional entries if required.

    3. Verify that the total number of entries is aligned with your expectation in the Confirm button.

Some important points of attention need to be considered when using the Export to Excel feature :

  • The Id column will already be filled with a series of numbers, one for each row. Therefore, you should leave the Id column blank when adding new rows so you do not change the Id of the already existing ones.

  • When being exported, you will notice that sometimes visits have the following format in the Excel sheet : “0-nside_CT-FAST-active_treatment_visit”. The first visit (usually screening) will always display the number 0 and the following visits in chronological order will display the numbers following 0. So visit 2 (usually randomization) will be 1-nside_CT-FAST-active_treatment_visit and so on. This format is actually valid for pasting so you don’t have to change it if you do not want to. If you want to change the format, please refer to the valid paste formats table above.

  • When dates are being exported, they have the following format : YYYY-MM-DD. This format is not valid to be pasted back in the system. The valid format is the one displayed in the valid paste formats tables above : DD-MMM-YY (to change the format of the date, see images below).
